2.1 Service Description
Gyan Tour & Travels provides cab and transportation services including:
- Airport transfers within Gurgaon and Delhi NCR
- Outstation trips to various destinations
- Corporate transportation services
- Local city tours and sightseeing
- Event and wedding transportation
- Hourly and daily cab rentals
2.2 Service Area
Our primary service area includes Gurgaon, Delhi NCR, and outstation destinations as specified on our website. Service availability may vary based on location and demand.
3. Booking and Reservations
3.1 Booking Process
You can book our services through:
- Our website booking form
- Phone calls to our booking hotline
- WhatsApp messaging
- Email requests
- Walk-in bookings at our office
3.2 Booking Confirmation
All bookings are subject to availability and confirmation. We will confirm your booking via:
- SMS or WhatsApp message
- Email confirmation
- Phone call confirmation
3.3 Advance Booking Requirements
- Local trips: Minimum 30 minutes advance booking
- Airport transfers: Minimum 2 hours advance booking
- Outstation trips: Minimum 6 hours advance booking
- Corporate events: Minimum 24 hours advance booking
Important Note
During peak hours, festivals, or high-demand periods, longer advance booking may be required. We recommend booking as early as possible to ensure availability.
4. Pricing and Payment
4.1 Fare Structure
Our pricing is based on:
- Distance traveled (per kilometer charges)
- Time duration for hourly bookings
- Vehicle type selected
- Additional services requested
- Toll and parking charges (where applicable)
4.2 Payment Methods
We accept the following payment methods:
- Cash payments to the driver
- UPI payments (PhonePe, Paytm, Google Pay, etc.)
- Credit and debit cards
- Net banking transfers
- Corporate billing (for registered corporate clients)
4.3 Additional Charges
The following additional charges may apply:
- Toll charges: Actual toll paid during the journey
- Parking fees: Actual parking charges incurred
- Night charges: 25% extra between 11 PM to 6 AM
- Waiting charges: ₹X per minute after 15 minutes free waiting
- Cancellation charges: As per cancellation policy
4.4 Fare Estimates
Fare estimates provided are approximate and may vary based on actual distance, traffic conditions, route taken, and additional services. Final fare will be calculated based on actual usage.
5. Cancellation and Refund Policy
5.1 Cancellation by Customer
- More than 4 hours before pickup: No cancellation charges
- 2-4 hours before pickup: 25% of the estimated fare
- 1-2 hours before pickup: 50% of the estimated fare
- Less than 1 hour or no-show: 100% of the estimated fare
5.2 Cancellation by Company
We reserve the right to cancel bookings in cases of:
- Vehicle breakdown or technical issues
- Driver unavailability due to emergency
- Extreme weather conditions affecting safety
- Government restrictions or curfews
- Force majeure events
In such cases, we will provide a full refund or arrange alternative transportation at no extra cost.
5.3 Refund Process
Refunds, when applicable, will be processed within 7-10 business days to the original payment method.
6. Customer Responsibilities
6.1 Passenger Conduct
Customers are expected to:
- Be present at the pickup location at the scheduled time
- Provide accurate pickup and drop-off locations
- Treat drivers and vehicles with respect
- Follow safety guidelines and wear seatbelts
- Not consume alcohol or drugs in the vehicle
- Not smoke in the vehicle
- Not damage vehicle property
- Keep the vehicle clean
6.2 Prohibited Items
The following items are not allowed in our vehicles:
- Illegal substances or contraband
- Flammable or hazardous materials
- Weapons of any kind
- Excessive luggage beyond vehicle capacity
- Pets (unless prior arrangement made)
6.3 Accurate Information
Customers must provide:
- Correct contact information
- Accurate pickup and drop-off addresses
- Truthful passenger count
- Special requirements in advance
7. Our Responsibilities and Limitations
7.1 Service Standards
We commit to:
- Provide clean, well-maintained vehicles
- Employ licensed and verified drivers
- Maintain vehicle insurance and permits
- Provide timely pickup and drop services
- Ensure driver professionalism and courtesy
- Maintain transparent pricing
7.2 Limitations of Liability
Our liability is limited to the fare paid for the journey. We are not liable for:
- Delays due to traffic, weather, or road conditions
- Lost or damaged personal belongings
- Missed flights, appointments, or events
- Indirect or consequential damages
- Acts of third parties or force majeure events
7.3 Insurance Coverage
All our vehicles carry comprehensive insurance coverage including passenger liability. However, customers are advised to maintain their own travel insurance for additional protection.
8. Safety and Security
8.1 Vehicle Safety
- All vehicles undergo regular maintenance and safety checks
- Vehicles are equipped with safety features like seatbelts and first aid kits
- GPS tracking is enabled for security and route optimization
- Emergency contact numbers are available 24/7
8.2 Driver Verification
- All drivers are background verified
- Drivers hold valid commercial driving licenses
- Regular training on customer service and safety
- Driver details are available upon request
8.3 Emergency Procedures
In case of emergency during your journey:
- Contact our 24/7 helpline immediately
- Call local emergency services if required
- Report any safety concerns to our customer service
9. Dispute Resolution
9.1 Complaint Process
For any complaints or disputes:
- Contact our customer service within 24 hours of the journey
- Provide detailed information about the issue
- We will investigate and respond within 48 hours
- If unsatisfied, escalate to our management team
9.2 Resolution Timeline
- Service complaints: 48 hours
- Billing disputes: 5 business days
- Refund requests: 7-10 business days
